Admin Supervisor

Skynet South Africa (Pty) Ltd requires an individual to fill the above position. The successful incumbent will be based at the Cape Town branch and will report directly to the Branch Manager – Cape Town and Cost Accountant based in Johannesburg.

MAIN RESPONSIBILITIES:                                                        

  • Accurate creation of orders on HANSA
  • Responsible for all aspects of the Admin department including ensuring staff comply and adhere to deadlines and accuracy of staff functions
  • Creating of invoices on HANSA
  • Managing Cost control for the CPT branch
  • Analyzing monthly costs for cost control
  • Scanning of invoices on HANSA
  • Daily checking of outstanding PO’s and following up on outstanding invoices
  • Responsible to resolve all H/O queries timeously regarding orders
  • Checking of the accrual report weekly from HANSA
  • Updating the Monthly forecast daily
  • Updating the daily forecast on HANSA daily
  • Verify the P&L report to ensure all costs are for the Cape Town branch
  • Verify the P&L report to ensure it corresponds with monthly forecast
  • Completion of the paper usage, water & electricity report on google and enter comments
  • Completing the branch financial rolling budget report monthly
  • Completing the JNB branch commentary report with comments of expenditure
  • Completing the month-end management pack report which includes YTD & forward to Branch Manager for analysing, where required transfer to the google drive report
  • Completing the daily cost comparison report monthly
  • Managing of petty cash & ensuring month-end reports are submitted
  • Updating the vehicle repair &b Maintenance report on google
  • Supervising of the admin department including the staff
  • Ensuring the admin department meets all deadlines
  • Ensuring invoices received from suppliers are accurate and authorized by the Branch Manager
  • Completing the hire of vehicle report monthly
  • Obey any reasonable instruction given by a superior or person in authority
  • Attend any training courses made available by the Company
  • Assist with delivery/collections of consignments in the event of an emergency e.g. political unrest/industrial action
  • Ensure the SABS ISO 9002 Quality system is adhered to by all staff in areas of responsibility


  • Grade 12
  • Relevant qualification would be advantageous
  • Excellent administrative skills
  • Experience in the courier industry in an administrative capacity
  • Experience on Hansa System
  • Computer literate
  • Ability to use initiative
  • Good planning & organising skills
  • Decision-making skills
  • Sound communication skills both written & verbal
